This Privacy Policy explains how Coterie Limited (“Coterie”, “we”, “us”) collects, uses, and protects personal information across coterie.rsvp and the Coterie product, including any Coterie community hosted on it or on a creator’s own white-labelled domain.
2. Information we collect
We collect account information (name, email, password); community participation data (your application answers, posts, comments, session assignments, and standing within a community); files you upload (attachments, photos, or signatures); support communications; payment information for paid plans, processed by Stripe; and standard technical log/usage data.
3. How we use information
We use your information to operate Coterie — matching you into circles, scheduling sessions, letting Coterie owners review applications and moderate their own community — plus sending account/session notifications, processing payments, providing support, and keeping the platform secure. We do not sell your personal information, and we don’t use it to train our own models.
4. How we share information
We share information with the owner/admins of any community you join (to the extent needed to run that community); service providers who help us operate — hosting, database, payments, and email delivery — and, if a Coterie owner has set one up, that owner’s own SMTP server for outbound email from their community; law enforcement or regulators where required by New Zealand law; and a buyer or successor in a merger or sale of assets. We do not sell your personal information.
5. Data security
We use encryption in transit and at rest — including for any SMTP or AI API keys a Coterie owner configures — and follow industry-standard practices to protect your information. No method of storage or transmission is 100% secure, but we take reasonable steps to protect your data and will notify you as required by law if a breach affecting your information occurs.
6. Data retention and your rights
We keep your information for as long as your account is active or as needed to provide the service. If you delete your account, or a Coterie owner deletes their community, we permanently delete your personal information and anonymise historical records (like past session participation) rather than deleting them outright, so other members’ own history stays intact. Under New Zealand’s Privacy Act 2020, you have the right to access and correct the personal information we hold about you — contact us to exercise these rights, or to complain to the Office of the Privacy Commissioner if you’re not satisfied with our response.
7. International transfers
Coterie is operated from New Zealand, but some of our service providers (including hosting and payment processing) operate internationally. Where we transfer personal information outside New Zealand, we take reasonable steps to ensure it continues to receive a comparable standard of protection.
8. Changes to this policy
We may update this policy from time to time to reflect changes to our practices or for legal reasons. We’ll post any changes here and revise the “last updated” date above; if a change is material, we’ll take reasonable steps to let you know.
